ChatGPT for Business Owners — If You Only Do 6 Things...

  1. Build a Role "Master Prompt" so ChatGPT understands your business. Most people get generic answers because ChatGPT doesn't know who they are. Get it to interview you (role, goals, audience, offers, constraints), then save that as your reusable "master context doc" you can add as a reference file in every project.

  1. Run everything through Projects so context compounds over time. Create a Project per department or goal. Upload your core reference docs, then keep all related chats inside that Project so the work gets sharper & more specific every time.

  1. Turn the best outputs into System Prompts (these are your IP). Iterate until you get the result you're looking for, then lock it in. Ask ChatGPT to reverse-engineer the output into a repeatable 'system prompt'. You should have: Email writing system prompt, LinkedIn post system prompt, Proposal system prompt, Award entry system prompt. Reuse these as templates for future work.

  1. Build a simple OS dashboard. Ask ChatGPT to build you a dashboard in Canvas: Main goals / projects, This month's desired outcomes, This week's non-negotiables. "Live State snapshot" text box with a 'build snapshot' button that generates a summary of the week from your inputs in the status sections. Favourite in your browser and use it as your control panel.

  1. Make it an Operating System. Update the dashboard noting what moved, then hit "Build snapshot" to generate a "live Snapshot". Copy your Master Prompt, live snapshot & this prompt into a new chat: Using the Live State Snapshot pasted above + my Master Prompt, help me: Review what moved last week. Set 3x non-negotiables for next week. Flag anything I should stop doing or postpone for 30 days. Suggest 1x high leverage move I can complete in 45 minutes or less. Let ChatGPT do the review & planning, then paste the next weeks non-negotiables into the dashboard so you can build momentum over time.

  1. Productise your best prompts into Custom GPTs or vibecode them into mini apps. Once a system prompt works reliably, turn it into a custom GPT & share it internally. That's how you scale your output without being the bottleneck, and how you make "your way of working" repeatable for others in your organisation.
